What it is
Zapier connects the software you already use. A trigger in one app causes actions in others, without code — and since the AI wave, model calls can sit anywhere in that chain, turning simple plumbing into workflows that read, decide and write.
Where it shines
Coverage. With over eight thousand integrations, whatever obscure tool your finance team insists on is probably supported. That breadth is the moat: competitors are better in places but none matches the library.
AI steps have changed what is possible for non-developers. A support email arrives, a model classifies urgency and topic, extracts the account number, drafts a reply in your tone, and routes it to the right queue with the draft attached. Two years ago that needed an engineer; now it is an afternoon and no code.
Reliability deserves mention. Runs are logged, failures retry, errors are visible, and workflows do not silently stop — the unglamorous quality that separates production automation from a weekend project.
Where it falls short
Price at volume. Every action step consumes a task, so a five-step workflow running a thousand times a month costs five thousand tasks. Teams routinely arrive at the third tier faster than expected, and at that point Make or n8n is dramatically cheaper for the same work.
Complex logic is also awkward. Nested conditions, loops and data reshaping are possible but clumsy compared with Make's visual canvas or n8n's code nodes. And debugging a fifteen-step Zap means reading run logs one step at a time.
