Zapier review — Connect 8,000+ apps and drop AI steps into any automation.

What we like

  • The largest app integration library by a wide margin
  • AI steps let a model classify, extract or draft inside any workflow
  • Non-technical users can build real automations in an afternoon
  • Reliable execution with clear error handling and retries

What we do not

  • Task-based pricing becomes expensive at volume
  • Complex branching logic is easier in Make or n8n
  • Debugging long multi-step Zaps is tedious

What it is

Zapier connects the software you already use. A trigger in one app causes actions in others, without code — and since the AI wave, model calls can sit anywhere in that chain, turning simple plumbing into workflows that read, decide and write.

Where it shines

Coverage. With over eight thousand integrations, whatever obscure tool your finance team insists on is probably supported. That breadth is the moat: competitors are better in places but none matches the library.

AI steps have changed what is possible for non-developers. A support email arrives, a model classifies urgency and topic, extracts the account number, drafts a reply in your tone, and routes it to the right queue with the draft attached. Two years ago that needed an engineer; now it is an afternoon and no code.

Reliability deserves mention. Runs are logged, failures retry, errors are visible, and workflows do not silently stop — the unglamorous quality that separates production automation from a weekend project.

Where it falls short

Price at volume. Every action step consumes a task, so a five-step workflow running a thousand times a month costs five thousand tasks. Teams routinely arrive at the third tier faster than expected, and at that point Make or n8n is dramatically cheaper for the same work.

Complex logic is also awkward. Nested conditions, loops and data reshaping are possible but clumsy compared with Make's visual canvas or n8n's code nodes. And debugging a fifteen-step Zap means reading run logs one step at a time.

Pricing in plain English

Free for 100 tasks a month on two-step Zaps. $19.99 a month for Professional with multi-step workflows and AI steps. $69 for Team. Enterprise quoted.

Who should use it

Non-technical operators automating business processes across many SaaS tools, and teams that need reliability more than they need the cheapest per-run cost.

Zapier FAQs

What counts as a task in Zapier?

Every successful action step consumes a task. A five-step Zap that runs a hundred times uses five hundred tasks, which is why costs climb faster than people expect at volume.

Can Zapier use AI in a workflow?

Yes. You can add steps that call a model to classify, summarise, extract structured fields or draft a reply, and pass the result into the next app in the chain.

Zapier or Make?

Zapier has more integrations and is easier to start with. Make is cheaper at volume and better for complex branching and data transformation.
